Zapier Integration Guide — Connect Pictor to 6,000+ Apps

Zapier lets Pictor talk to the rest of your stack — Google Sheets, Airtable, Slack, your CRM, anywhere Zapier connects. If you've ever wanted every workflow event to flow automatically into another tool without copy-pasting, this is the page for you.


How Pictor + Zapier works

Pictor integrates with Zapier through workflow webhooks — not a dedicated Pictor app in the Zapier directory. Here's the pattern:

  1. In Pictor, open your event workflow editor
  2. Add a Webhook step at the point you want to trigger the Zap
  3. In Zapier, create a new Zap and pick Webhooks by Zapier → Catch Hook as the trigger
  4. Copy the Zapier-provided Catch Hook URL and paste it into Pictor's Webhook step
  5. Choose what data to send from Pictor — photo output, survey data, guest email/SMS, or a custom payload
  6. Complete the Zap action (Google Sheets, Slack, HubSpot, etc.) and turn the Zap on

That's it. Whenever that workflow step runs in Pictor, your Zap fires automatically.


What data can I send?

When you configure the Webhook step in the workflow editor, you choose the payload. Common options include:

  • Photo/video output — URL to the captured image or video
  • Guest data — email, name, SMS number from pre-registration or surveys
  • Survey/form responses — any guest data collected in the workflow
  • Event details — event name, timestamp, operator info
  • Custom payload — map any workflow variables to your own JSON structure

Example workflows

"Save every captured photo to Google Drive"

  1. Add a Webhook step in your workflow after the capture step
  2. Zapier trigger: Webhooks by Zapier → Catch Hook
  3. Zapier action: Google Drive → Upload File
  4. Map the photo URL field → file source, event name → folder name

"Log every guest signup to a Google Sheet"

  1. Add a Webhook step after your pre-registration or survey step
  2. Zapier trigger: Webhooks by Zapier → Catch Hook
  3. Zapier action: Google Sheets → Create Spreadsheet Row
  4. Map guest_email, guest_name, event_name, timestamp

"Notify Slack when a workflow fires"

  1. Add a Webhook step at the desired point in your workflow
  2. Zapier trigger: Webhooks by Zapier → Catch Hook
  3. Zapier action: Slack → Send Channel Message
  4. Map relevant fields to the message text

"Add leads to HubSpot"

  1. Add a Webhook step after the guest data capture step
  2. Zapier trigger: Webhooks by Zapier → Catch Hook
  3. Zapier action: HubSpot → Create or Update Contact
  4. Map guest_email, guest_name, event_name

Troubleshooting

Zapier isn't receiving data from Pictor?

  • Confirm the Zapier Zap is turned on (toggle is green)
  • Make sure you copied the correct Catch Hook URL into Pictor's Webhook step
  • Check Zapier's Zap History to see if any requests arrived
  • Test by running through the workflow manually and watching Zapier's live testing screen

Data arrives but fields are wrong or missing?

  • Review the payload configuration inside Pictor's Webhook step — confirm you've mapped the right workflow variables
  • In Zapier, refresh the sample data by re-triggering the webhook and re-testing the action step

Webhook step not available in my workflow?

  • Webhook steps are available on Pro and above plans. Check your plan under Account Settings → Billing.

Tips

  • Name your Zapier Zaps clearly. Something like "Pictor Workflow → Sheets — Wedding signups" makes it easy to manage multiple Zaps.
  • Use Zapier Filters. Add a Filter step in Zapier if you only want certain events to trigger an action (e.g., only events where event_type = wedding).
  • Use Paths for branching. Zapier's Paths feature lets you route different payloads to different actions based on conditions.
  • Watch Zapier task usage. Each webhook call = one Zapier task. High-volume events can consume tasks quickly — check your Zapier plan limits.
  • Secure your webhook URL. Treat the Catch Hook URL like a password — anyone with it can trigger your Zap.
